Forwarding Reviews Without Losing Your Copy

Use a mailbox rule that forwards a copy, not a blanket forward that empties your inbox.

Forward With a Rule, Not With Account Forwarding

Where a platform will only email its own account users, forwarding is the way in. The important distinction is which kind of forwarding:

  • A rule or filter matches only the review notifications and sends a copy on. The original stays in your inbox, where your team still sees it. This is what you want.
  • Account-level forwarding redirects your whole mailbox, and depending on the setting it can move each message out without leaving anything behind. A review notification you never read simply disappears from your side.

We have seen the second case in the wild: reviews reached Dinopix correctly while the business never saw them in their own inbox.

Outlook and Microsoft 365

  1. Open Settings > Mail > Rules and choose Add new rule
  2. Condition: From the review platform's notification address
  3. Action: Forward to, and enter your Dinopix inbox address
  4. Save. Copies of messages you forward with a rule stay in your mailbox automatically

Choose Forward, not Redirect. A redirected message keeps the original sender, so it arrives claiming to be from the review platform while being sent by your mail server. Dinopix checks that the sending domain is genuinely the sender, and a redirect usually fails that check: the mail is refused and you see nothing. A forward is sent from your own address, which passes.

If you use the account-level Automatic forwarding screen instead of a rule, tick Keep a copy of forwarded messages. Without it, your inbox is emptied as mail arrives.

Gmail and Google Workspace

Gmail will not forward anywhere until the destination address is verified, and that applies to filters too.

  1. Go to Settings > Forwarding and POP/IMAP and choose Add a forwarding address
  2. Enter your Dinopix inbox address. Google immediately emails a confirmation code to it
  3. That email arrives at Dinopix. Open Settings > Businesses > Held messages and it is waiting there. Google puts the code in the subject line, so you can read it straight from the list
  4. Paste the code back into Gmail to finish verifying
  5. Now create the rule: Settings > Filters and Blocked Addresses > Create a new filter, with From set to the platform's notification address, then Forward it to your Dinopix address

A filter forwards a copy and leaves the original in your inbox. Do not add Delete it to the same filter, and on the Forwarding tab leave the setting on keep Gmail's copy in the Inbox.

Allow the Address You Forward From

A forwarded review arrives from you, not from the platform, so add the mailbox you forward from under Settings > Businesses > Who can send to this address. Mail from an address that is not on that list is held rather than dropped, and you can release it from the same screen.

Why the Recipient Method Is Still Better

  • Nothing to configure in your mailbox, and nothing to go wrong later when someone tidies up the rules
  • The platform sends the original, so the review text arrives exactly as written rather than wrapped in forwarding headers
  • Your team keeps every notification, because none of them were ever moved
