Send from your own mailbox (SMTP)

Send surveys, review requests and follow-up replies from your own mailbox over SMTP (Surveys Pro): setting up Gmail or Google Workspace with an app password, Microsoft 365 with Authenticated SMTP, Zoho, Hostinger and cPanel hosts, the daily sending limit, and what the error messages mean.

With Surveys Pro your review requests and surveys can go out from the mailbox you already use, such as Google Workspace or Microsoft 365, over SMTP. They come from your own address and show up in that mailbox's Sent folder like any other email you send.

If you already use a sending service such as SendGrid, Postmark or Brevo, connect that instead: see Send from your own email provider. Services are built for volume; a mailbox has a daily limit.

Connect It

  1. Go to Customers > CRM Settings > Email sending, choose Connect your email, then My email account.
  2. Pick where your email is, such as Gmail or Microsoft 365. Dinopix shows the steps for it, with links to the right pages, and fills in the mail server, port and a safe daily limit for you (under Server settings, if you need to change them).
  3. Enter the from name, your email address and the password (for Gmail, the app password). Choose Save and send a test.
  4. Dinopix sends an email to you through your mailbox. When it arrives, enter the 6-digit code in it. Only then is the mailbox Verified, and nothing goes to customers through it before that.

Then choose it under Send from on a survey, or for review requests, exactly as for an email provider.

Gmail and Google Workspace

  • Server: smtp.gmail.com, port 465, SSL/TLS.
  • Password: an app password, not your normal one. Turn on 2-Step Verification for the account, then create an app password at myaccount.google.com/apppasswords and paste it in. If Google answers that an app password is needed, this is why.
  • From address: the account's own address, or an alias set up under Send mail as in Gmail's settings.
  • Limit: a free Gmail account can send about 500 emails a day, and Google Workspace about 2,000. Dinopix starts at 500; raise it for Workspace.

On Google Workspace, an admin may need to allow app passwords for your organisation first.

Microsoft 365 and Outlook

  • Server: smtp.office365.com, port 587, STARTTLS.
  • Turn on Authenticated SMTP: an admin opens the Microsoft 365 admin centre, goes to Users > Active users, selects the mailbox, then Mail > Manage email apps, and ticks Authenticated SMTP. Without it, the test fails with a message saying SMTP sign-in is switched off.
  • If your organisation uses security defaults, password sign-in for SMTP may be blocked altogether. Your IT admin can tell you.
  • Limit: Microsoft allows up to 10,000 recipients a day and 30 emails a minute. Dinopix starts at 2,000 a day and sends at most 20 every 15 minutes through one mailbox.

Microsoft is switching password sign-in for SMTP off by default from the end of December 2026. An admin can switch it back on for the mailbox, and Dinopix will tell you if it stops working.

Zoho, Hostinger and Other Hosts

  • Zoho Mail: smtp.zoho.com, port 465, SSL/TLS (smtp.zoho.eu or smtp.zoho.com.au if your account is hosted there). Use an app-specific password if the account has two-factor sign-in.
  • Hostinger: smtp.hostinger.com, port 465, SSL/TLS, with the email address and its password from hPanel.
  • cPanel and other hosts: use your host's outgoing (SMTP) settings, often mail.yourdomain.com on 465 with SSL/TLS, or 587 with STARTTLS.

Dinopix only connects on ports 465, 587 and 2525, and always encrypted: your password and your customers' emails are never sent unprotected. A server on a private network address can't be used.

The Daily Limit

A mailbox that sends more than its provider allows is usually blocked for a day, and then nothing gets through, including your own email. So every mailbox has a daily limit in Dinopix, which you can change when you edit it. Set it below what your provider allows.

  • The Email sending page shows how many have gone out in the last 24 hours, for example 12 of 500.
  • When the limit is reached, automatic emails wait rather than bounce, and go out as the limit frees up. Emails you send yourself show a message instead.
  • Bulk sends through a mailbox are limited to 20 contacts at a time.

When Something Goes Wrong

The message on the mailbox says what happened, in plain words:

  • Didn't accept the username and password: check both, and use an app password where your provider asks for one.
  • Couldn't set up a secure connection: the port and security don't match. 465 uses SSL/TLS; 587 uses STARTTLS.
  • Won't let this login send as the from address: send from the mailbox's own address, or an alias it's allowed to use.
  • Refused to pass the email on (relaying denied): the server isn't letting this login send to other domains. Check the login, or ask your host.
  • Couldn't connect: check the server name and port. If they're right, the server may be down, and automatic emails are tried again later.

As with an email provider, Dinopix never quietly switches back to sending from its own address. Automatic emails wait until the mailbox works again, and you can set Send from back to Dinopix email at any time.

Your Password

Your password is encrypted as soon as it reaches Dinopix and is only ever used to send your email. It is never shown again, not even in part. Only owners and admins can see or change the connection. Removing it deletes the password from Dinopix; your mailbox isn't changed. If you change the mailbox password, update it here too. If you change the mail server or username, enter the password again: a saved password is only ever sent to the server it was saved for.
